1. Who this policy covers
This policy applies to CaterScale websites and services that link to it. CaterScale is operated by Likwid Games Ltd. A catering business controls the customer and event information it puts into its workspace. Its privacy practices and agreement with us also apply to that information.
If you are a guest or customer of a catering business, contact that business first about its records. We can help direct requests about information we process on its behalf.
2. Information we handle
Information you provide may include account and team details; business and customer contact information; event dates, venues and guest counts; menus, recipes, dietary requirements and notes; proposals, approvals, invoices and payment records; uploaded menu images; and messages sent to support.
Dietary notes can reveal sensitive information. Enter only what is needed to cater the event, and ensure you have permission to share it. Avoid unrelated medical history or other unnecessary personal details.
Our systems and hosting providers may receive browser, device, IP address, authentication and security-log information when you visit or use the service. The contact form collects your name, reply email, optional business name, topic and message. Limited short-lived, hashed submission identifiers help limit abuse.
3. How information is used
We use information to deliver and secure the service, manage accounts, support catering workflows, respond to requests, investigate problems, maintain records and meet applicable legal obligations. A contact message is used to handle your request; sending it does not subscribe you to marketing.
When enabled, CaterScale loads Google Analytics and Google Ads measurement on public website pages and an isolated signup-completion page. In the European Economic Area, United Kingdom, Switzerland and Quebec, analytics and advertising storage default to denied until you accept. Elsewhere, measurement storage defaults to allowed. A saved Accept or Decline choice overrides these defaults. Use Cookie preferences to change it at any time. When storage is denied, Google may still receive limited cookieless signals, including consent status and technical request information. Google URL passthrough may add measurement parameters to eligible links. Measurement can include sanitized public URLs and titles, ad-click identifiers, technical browser/device information, approximate location, public navigation and a successful signup. We do not send form entries, email addresses or customer/workspace identifiers, and personalized advertising is disabled. Private workspace, proposal and invoice pages do not load these tags. Declining clears accessible measurement cookies; it does not stop all cookieless requests or erase information already sent to Google.
4. Service providers and integrations
Hosting, authentication, communications, file-storage and payment providers process information needed to provide their services. Configured integrations include WorkOS for staff authentication, Resend for email, and Stripe for billing and hosted card checkout. Full payment-card details are entered with Stripe, not in CaterScale forms.
When a staff member chooses AI inquiry review, the pasted inquiry, extraction instructions and a hashed account/workspace identifier are sent to OpenAI. Customer and menu matching happens within CaterScale. AI suggestions require staff review; using this feature does not automatically book an event, set prices or contact a customer. An API storage setting is not a promise of zero provider retention.
Where enabled, optional Google Maps address suggestions send the typed address and technical request information to Google. You can enter an address manually instead. Provider privacy information is available from Stripe, WorkOS, Resend, OpenAI and Google.
Information may be processed outside your province or country, including in the United States, and be subject to local law. Contact us for the providers and processing locations relevant to your service. We may also disclose information as required by law, to protect people or the service, in a business transaction, or at your direction. We do not sell personal information for money.
5. Retention and protection
Retention depends on the record, customer instructions and legal or operational needs. Information may need to be retained for accounting, approved agreements, dispute resolution, security or backup recovery; removing a record from an active view does not necessarily erase its history.
Access restrictions and workspace boundaries are designed to protect information. No online system is completely secure. See our security overview for the controls relevant to the product, without treating that overview as an audit or certification.
6. Your choices and requests
Subject to applicable law and exceptions, you may request access to or correction of personal information, ask about its use or disclosure, request deletion, or withdraw consent where processing depends on it. We may verify your identity and authority before responding, and explain any limits that apply.
Choose “Privacy request” on our contact page to reach the privacy contact, raise a complaint or request current mailing instructions. For workspace records, we may refer the request to the catering business that controls them. You may also contact the privacy regulator responsible for your jurisdiction.
CaterScale is intended for business use, not for children to create accounts. We may update this policy as the service changes and will identify material changes through the website or service as appropriate.
