How to plan catering food quantities
Start with the event count, then list the menu items and the people receiving each one. If 30 people choose one main and 20 choose another, enter 30 and 20 for those rows. A side may still serve all 50 guests.
Enter the ready-to-serve portion size you have chosen for each dish. Add an explicit extra allowance if you want one. Each item is calculated separately; a full meal-sized amount is not automatically assigned to every dish.
Add the prepared capacity of a tray or box if you want a container count. Containers are rounded up, but the calculator does not assume you fill every container to capacity.
The worksheet formulas
- Prepared mass = people receiving item × chosen prepared portion × (1 + extra allowance ÷ 100).
- Prepared pieces = the same calculation, rounded up once to a whole piece.
- Containers = prepared target ÷ prepared capacity, rounded up. Do not increase the food target to fill the containers.
- As-purchased mass = prepared target ÷ (measured yield ÷ 100). Unknown yield stays unestimated.
Prepared quantities and ingredient purchases are different
Prepared weight is the amount you plan to serve. Purchasing weight depends on the yield of the particular ingredient or preparation. A prepared target cannot be treated as the same raw purchase weight without checking that relationship.
If you have a comparable measured yield, enter it for that row to estimate the as-purchased weight. If you do not know it, the calculator leaves that purchasing estimate open. Mixed dishes need their own tested recipes; one generic yield should not be applied to an entire buffet.

How much food for 50 people? A worked planning example
This is an invented arithmetic exercise, not recommended portions, menu choices, buffers or yields. 30 people receive fictional main A, 20 receive fictional main B, and 50 receive a bread roll. The chosen allowance is 10%.
At 150 g per person, main A needs 4.95 kg and main B needs 3.30 kg of prepared food. With 1.5 kg prepared capacity per tray, allow 4 trays for A and 3 for B; some tray space remains unused.
The roll target is 55 whole pieces. Boxes holding 12 prepared rolls require 5 boxes. Main A's chosen measured 75% yield gives 6.60 kg as-purchased weight. Main B has no yield entered, so its purchase weight is not estimated. The 8.25 kg prepared mass total excludes the rolls.
| Item | People | Portion | Prepared | Containers | Yield | As purchased |
|---|---|---|---|---|---|---|
| Fictional main A | 30 | 150 g | 4.95 kg | 4 | 75% | 6.60 kg |
| Fictional main B | 20 | 150 g | 3.30 kg | 3 | Not entered | Not estimated |
| Fictional bread rolls | 50 | 1 piece | 55 pieces | 5 | Not applicable | Not estimated |
The same fictional menu for 100 people
For this separate example, 60 people receive main A, 40 receive main B and 100 receive rolls. Keep the same chosen portions, 10% allowance and container capacities.
The targets are 9.90 kg of main A, 6.60 kg of main B and 110 rolls. Prepared containers are 7 trays for A, 5 for B and 10 roll boxes. Main A's 75% yield gives 13.20 kg as-purchased weight. Main B's purchasing quantity remains unestimated. Prepared mass is 16.50 kg, excluding the rolls.
| Item | People | Portion | Prepared | Containers | Yield | As purchased |
|---|---|---|---|---|---|---|
| Fictional main A | 60 | 150 g | 9.90 kg | 7 | 75% | 13.20 kg |
| Fictional main B | 40 | 150 g | 6.60 kg | 5 | Not entered | Not estimated |
| Fictional bread rolls | 100 | 1 piece | 110 pieces | 10 | Not applicable | Not estimated |
Check the decisions behind the numbers
Use portions appropriate to your menu, service and guests. Review measured yields and the assumptions behind dietary menu allocations with the people responsible for the event.
Weights use grams, kilograms, ounces or pounds; ounces here mean weight, not fluid ounces. Pieces are counted separately. This tool does not convert a volume into a weight or decide food handling and holding requirements.
The result helps you plan the listed dishes. It does not establish that the menu is complete or that an ingredient is suitable for a particular dietary need.
Turn planned quantities into a clear booking
Use your planned quantities when costing the whole job, then put the agreed menu and service into a customer quote. Keep the kitchen handoff tied to the approved version.
CaterScale connects quotes, customer approvals and kitchen prep. The public calculator is a separate planning tool; normal business, menu and event setup is required in the application.

Questions about food quantities
Does every dish need a portion for every guest?
No. Enter the people receiving each menu item. The same people can also receive sides or bread, so row counts are not summed to infer attendance. The tool does not choose a menu split for you.
Does the calculator choose portion sizes or a buffer?
No. You choose the portion and extra allowance. The 50 and 100 guest examples are fictional arithmetic exercises, not catering standards or recommendations.
Why are prepared and as-purchased weights different?
Preparation can change usable weight. Enter a measured yield for the same food and process to estimate purchasing weight. If it is unknown, leave it blank; no 100% yield is assumed.
Do four trays mean I must prepare four full trays?
No. The number is the containers needed for your prepared target at the capacity you entered. Some space may remain unused. Rounding containers does not add more food to the target.
Can I switch between metric and US weights?
Yes. Mass quantities can be shown in compatible weight units. Pieces stay separate; ounces mean weight rather than fluid ounces.
Will this create a CaterScale booking or order ingredients?
No. The public calculator does not create an account, booking, quote, recipe or purchase order. You can print the plan and use it alongside your own records.
Are my entries saved?
Calculator entries are not submitted or saved by this tool. Reloading clears the form. Print a copy if you want to retain the current plan.
