ONE USEFUL NEXT STEP
Choose the next useful contact
Start with the last customer conversation. Check whether the quote was requested, what remains unanswered and whether the customer supplied a useful check-in or decision date. Record one next action, a responsible person and an appropriate due date. Use your own agreed booking terms and business time zone.
There is no fixed sending sequence in this pack. A customer's reply or request to stop contact changes the next step. A task marked done means that particular action was completed; it does not mean the quote is approved or the booking is paid.
FIVE MESSAGES · CHOOSE THE ONE YOU NEED
Five messages for requested catering quotes
Track the next action
Use one record for each follow-up action. Keep the quote reference and revision, the current approved basis, any requested change, the customer-agreed timing, the action, due date, responsible person and observed outcome separate. If a value is missing, write “To confirm” rather than inventing it.
The blank sheet includes a current-plan field and a proposed-change field. Completing the contact task does not approve the proposed change. If a reply creates more work, record that outcome and choose a new review action. Keep the earlier action and decision history.
Keep your completed tracker private. Include only the information needed for the action and a reference to where the original conversation is held. Avoid copying raw inquiries, private contact details or financial notes into a shared kitchen sheet.
Download the same two-page tracker: blank record and fictional worked example.
Confirm the headcount before changing the plan
First identify the current quote reference, revision and whether it is approved. Ask for the headcount at the date actually agreed with the customer. Review any change to guests, menu, dietary requests, service and price. Resolve the effect on the booking and issue a revised quote when required.
Keep the current approved kitchen plan while a replacement is awaiting approval. A headcount reply alone does not approve a revised quote. Once the replacement is explicitly approved and recorded, issue that version and obtain fresh kitchen acknowledgment and checks. Retain the older revision and its original history.
Use your own business and booking requirements. The example below does not set a universal deadline, cancellation policy, payment term, dietary assurance or service standard.
FICTIONAL REVISION HISTORY · MANUAL REFERENCES
A headcount reply changes the next action
All names, dates, references, actions and decisions below are fictional. This is the Practice Community lunch on November 16, 2026, in America/Edmonton. It is separate from the site's Northwood and Cedar Room examples. PRACTICE F1 and PRACTICE F2 are illustrative manual references, not application-generated quote IDs.
Customer approves PRACTICE F1 revision 1 for 40 guests.
Next action: Retain the approval and current plan reference.
Current approved plan: F1 revision 1 at 40 guests
Office records the agreed November 9 headcount check-in.
Next action: Create one private guest-count task due November 9, assigned to Office.
Current approved plan: F1 revision 1 at 40 guests
Customer requests 50 guests. This is not approval of a revised scope or price.
Next action: Record the reply as the outcome. Close that contact task; add a review task due November 10.
Current approved plan: F1 revision 1 at 40 guests
Office prepares PRACTICE F2 revision 2 for 50 guests and requests approval.
Next action: Keep F2 pending. Retain F1 as the current approved plan.
Current approved plan: F1 revision 1 at 40 guests
Customer explicitly approves the scope and price of F2 revision 2. Approval is recorded.
Next action: Issue the new plan with fresh acknowledgment and checks; retain F1 and its history.
Current approved plan: F2 revision 2 at 50 guests
Office to obtain acknowledgment of F2 revision 2 and review outstanding operational details. Due November 12 is an invented operator-chosen date for this exercise.
Venue access, complete service arrangements and dietary requests still require operator review. No payment, packing completion, dispatch or delivery is established.
Completing a follow-up does not establish approval, acknowledgment, payment, packing or delivery. The tracker records decisions and actions; the business must perform and review them.
FROM A MANUAL RECORD TO A PRIVATE STAFF TASK
Keep your quote and next follow-up together
When you are ready to manage the booking in CaterScale, add your customer and event, then create a private follow-up. Choose Follow up on quote or Confirm guest count, review the task title and details, choose the due date and assign an active owner or office team member if appropriate. Keep the quote reference and next action in the task details.
Review the outcome, complete or cancel the task when appropriate, or reopen a closed task before editing it. If the customer changes the booking, review the quote separately and obtain any required approval before replacing the kitchen plan.
These are one-time staff tasks. They do not send emails or automatic reminders. The free documents do not import, sync, create records or complete a signup. Follow-up tasks do not change an approved quote or enter the kitchen plan.
Questions about quote follow-ups
When should I follow up on a catering quote?
Use the customer's stated timing, the unanswered question and your booking requirements. This pack does not prescribe a universal interval or repeated contact sequence. Respect requests to stop contact.
Does a confirmed guest count approve a new price?
A reply with a changed count needs review. Obtain explicit approval of a revised quote when required before making it the current approved plan.
Does completing a follow-up cancel or approve the booking?
It records that task's status. Booking approval and cancellation are separate decisions and must follow the actual agreed scope and terms.
Will these documents send messages or import into CaterScale?
No. Edit and send an appropriate message through your own chosen channel. Add and review tasks manually in CaterScale; the app's private staff follow-ups do not send emails or automatic reminders.
Give the next action a place beside the booking.
Start with your customer and event, then review and assign a private follow-up in CaterScale. Messages and approvals remain separate actions for your team to handle.
